What we collect, why, and what you can do about it.

1. Who we are

RentEvo ("RentEvo", "we", "us") provides software that sits on top of the systems a property management company already runs and turns them into one place the portfolio answers from. This policy explains what personal information we collect, why, and what you can do about it. It covers our website at rentevo.base44.app and the RentEvo application.

If you use RentEvo as an employee of a customer, that customer is the controller of the business data it loads into RentEvo, and we process that data on its behalf and on its instructions.

2. Information we collect

On the website, when you join the waitlist or contact us, we collect what you type into the form: your company name, your name, your work email, an optional phone number, your portfolio size, the systems you currently run, and anything you write about what you would want solved first.

In the application, we collect and store what a customer and its users put in or connect:

• Account information: name, email address, role, and the scope (company, region, property) assigned to you by your organization.
• Business data your organization uploads or connects: budgets, rent rolls, general ledgers, work orders, leases, payments and similar operational records. These records can include personal information about residents, vendors and staff, such as names, unit numbers and balances.
• Credentials your organization provides to connect a third-party platform. These are encrypted and stored in a vault dedicated to your organization, used only to keep your data in sync, and revocable by you.
• Your questions and the answers you receive, saved so you can return to a conversation.
• Usage events: what you ask, which filters and views you use, and when. RentEvo uses these to personalize what it surfaces to you. You can turn personalization off per request.

We do not use third-party advertising or analytics trackers on the website. Cookies and similar storage are limited to what is needed to keep you signed in and to remember basic preferences.

3. How we use it

• To provide the service: answer questions, build reports and briefings, and surface changes, all scoped to what your role allows you to see.
• To personalize the service to you, based on your own usage.
• To onboard you, support you, and communicate with you about the service and your waitlist request.
• To keep the service secure, to prevent abuse, and to meet legal obligations.
• To improve the product, using aggregated or de-identified information.

We do not sell personal information, and we do not use your organization's business data to train machine-learning models.

4. AI processing

To produce an answer, RentEvo sends the question and the scoped rows behind it to a large language model. Those models are operated by third-party providers reached through our hosting platform, currently Anthropic, Google and OpenAI. The data sent is limited to what is needed to answer, is already filtered to what the asking user is permitted to see, and is processed under provider terms for programmatic use that do not permit the provider to train on it.

5. Where your data lives and who can access it

RentEvo runs on Base44, a hosted application platform. Data is stored on servers in the United States, encrypted in transit and at rest. Base44 holds SOC 2 Type II and ISO 27001 certifications and maintains a directory of its subprocessors and a GDPR data processing agreement; details are published at base44.com/security. RentEvo does not hold a certification of its own and does not claim one.

Within RentEvo, access to your organization's data is limited to authorized users of your organization, and each user sees only the slice their role and scope allow. Every organization is isolated from every other at the data layer. Platform operators may access data where required to operate, secure or support the service.

6. Retention

We keep your organization's data for as long as your organization has an account with us, and for a short period afterwards to allow recovery, after which it is deleted. Waitlist information is kept until you ask us to remove it or until we no longer need it to follow up. Uploaded data can be removed by your organization at any time by undoing the upload.

7. Your rights

Depending on where you live, you may have the right to access, correct, export or delete personal information we hold about you, to object to or restrict certain processing, and to complain to a supervisory authority. If you are a resident, vendor or employee whose information appears in a customer's data, please direct your request to that customer, and we will support them in responding.

8. Children

RentEvo is a business tool and is not directed at children under 16. We do not knowingly collect their information.

9. Changes

When we change this policy we will update the date at the top of the page. If a change is material, we will tell customers directly.
